**VOLUNTEER CHECK-IN BEGINS AT 6:45AM**
SET-UP/REGISTRATION: 7am – 11am
• Help move equipment/supplies
• Set up tables and tent
• Post room signs
• Check-in preregistered participants as they arrive
• Assist participants with onsite registration form
• Distribute conference materials
• Register high school students for the dinner and dance, attach wristband (check id)
• Arrange shirts by size
• Distribute t-shirts during morning registration
AMERICAN SIGN LANGUAGE (ASL) INTERPRETER: 9:30am – 10am , 5pm – 6pm
• To assist with ASL interpretation if needed during Opening Ceremony and Entertainment Session
RESOURCE FAIR/LUNCH: 11am – 3pm
• Provide assistance with set-up when requested to do so
• Assist in ensuring Resource Fair participants have registered and displays are age-appropriate
• Contact volunteer desk for assistance if materials are inappropriate for age group or if you observe inappropriate behavior
• Assist with tear-down when requested to do so
• Make sure all tables are taken down no later than 2 pm
• Collect lunch tickets from youth participants and designated volunteers
• Monitor distribution, one sandwich, one drink, etc. per person
• Monitor assigned location during lunch
• Monitor lunch/resource fair area. Only registered MOP participants are allowed in this area
• Ask participants to clean up their trash
• Assist conference participants to be on time for the afternoon workshops
WORKSHOP MONITORS/ICE BREAKERS: 8:30am – 12:30pm, 12:30pm – 4:30pm
(dependent on number of workshops per session)
• Co-lead a scripted session with 10 to 12 youth from 10am – 10:30am
• Once ice breakers are completed, move to assigned building for workshop monitoring
• Pick up workshop envelope/evaluations from volunteer desk
• Assist presenters with equipment
• Make sure workshops begin and end on time
• Close door and post “session closed” if at capacity
• Remind adults and non-registrant monitors they may observe, but not participate in youth workshops
• Introduce presenters (name, agency, and topic)
• Remind participants to turn cell phones off
• Make sure no food or beverages are allowed in classrooms
• Troubleshoot for presenters
• Monitor behavior of the participants - Youth need to be respectful. No side-talking during presentations
• Remove any disruptive or disrespectful participants (ask hall monitor for assistance if needed)
• Record headcount of each workshop on envelope
• Timekeeper, signal presenter when they have 5 minutes left
• End workshop 5 minutes before the scheduled ending
• Have participants fill in the conference evaluations
• Encourage participants to arrive at the next workshop or activity on time
• Remain with presenters to ensure there is always at least two adults present with youth at all times
• Sign envelope and return with evaluations to volunteer desk
• Check for trash, ask participants not to leave trash, make sure room is clean
HALL MONITORS: 11am – 3pm
• There will be 2 monitors in each hallway
• Do not assume gender identity. Youth may select lavatories they deem appropriate for their gender identity.
• Patrol hallways. Firmly, but respectfully, ask students to select and enter a workshop
• Assist in closing workshops that are at capacity
• Check for inappropriate or suspicious activities in the restrooms. No smoking, etc. Be nice, but firm
• Check in with each workshop monitor on your floor to see if everything is going okay and to distribute extra workshop evaluations if needed
• Make sure youth do not loiter in halls
ENTERTAINMENT SESSION: 2pm – 6:30pm
• Assist entertainers with rehearsal and performance
• Stand outside location and monitor that only MOP participants enter
• Assist participants after the entertainment session
• Supervise inside event location
• Assist with tear-down
• Check for trash, etc. Please leave the hall clean
DINNER/DANCE/BREAKDOWN: 5pm - 10pm
• Check wristbands entire evening
• Supervise outside areas
• Supervise students going to and from the restrooms, check restrooms
• Supervision inside the dances
• Make sure everyone is off campus by 10pm
• Make sure all areas are clean
